EXECUTIVE ASSISTANT / OFFICE MANAGER


TotalGenesis Counseling & Wellness – The Ashern Institute

 

27-30 Hours per week - Dynamic, organically growing Christian, non-profit counseling private practice is in need of a new executive assistant and office manager to help us continue on the path of excellence and exquisite client care we are known for. We are looking for someone who understands the value of compassionate service.

Our office is in San Antonio, TX in the center of town just a few short minutes from the Medical Center, University Health, Babcock, etc on Callaghan.

REQUIREMENTS:

  • College Degree - Bachelor's preferred, Associates accepted

  • Office Management, Administrative or Executive Assisting Experience

  • Must have excellent, current computer and internet skills

  • Event management experience

  • Excellent Communication Skills

  • Bookkeeping Skills

  • Discreet, personable and able to multi-task and prioritize projects

  • Ability to prioritize and keep track of assignments and projects

  • Ability to interact with a variety of individuals with different personalities

  • Good follow-through and organizational skills. Take the initiative to solve problems and improve tasks before any issues even arise. Take the lead and the initiative to make improvements to the efficiency of the practice

  • Practicing Christian with a sincere, growing walk with Christ

ADDITIONAL *REQUIREMENTS

  • Excellent computer skills and strong working knowledge of Microsoft Excel and Word

  • Ability to learn new computer programs easily

  • Positive, enthusiastic, professional; friendly with excellent communication skills

  • Loyal, dedicated and hard-working with integrity and ethics and ability to be discrete

  • Self-directed and able to independently manage a wide variety of tasks with proven resourcefulness in solving problems on your own

  • Organized with superior attention to detail

 

REQUIRED FRONT DESK SKILLS

  • Answer telephones, greet patients upon arrival and collect any co-pays/fees

  • Provide clients with intake forms and new client information to fill out prior to being seen

  • Schedule and confirm appointments

  • Computer entry to file and scan patient records as well as other office duties as needed

 

JOB DUTIES & RESPONSIBILITIES:

  • Assist staff members with a variety of tasks and make sure the office systems run smoothly.

  • Support the Executive Director as an Executive Assistant with various administrative and organizational tasks

  • Provide outstanding client service and staff support

  • Generate documents, reports, and marketing materials

  • Develop, maintain, and update computer and manual filing systems

  • Assist therapists and intake team as needed

  • Train new team members on administrative tasks

  • Work with vendors/contractors for office and building maintenance

  • Coordinate events, and related tasks

  • Oversee setup and teardown for group therapy sessions

 

JOB TYPE: Part-time, 27-30 hours/wk, M,W,F 9:00 AM – 6:30 PM

SALARY: $14.32 /hour

​

EXPERIENCE:

  • Office Management / Executive Level Assisting: 2 years (Required)

​

EDUCATION:

  • College Degree - Associate (Required), Bachelor's preferred

​

LANGUAGE:

  • English (Required)

  • Spanish Bilingual (Preferred)

​

SCHEDULE

  • M, W, Fri – 9:00 AM – 6:30 PM
